How to compress a PDF for upload forms

  1. 1

    Choose the rejected file

Drop in the PDF the portal said was too large. It loads in your browser, and no copy is made anywhere else.

  2. 2

    Match the portal limit

Under 1 MB is preselected. If the form states another number, choose it in Target size or enter it under Custom.

  3. 3

    Compress and upload again

Click Compress PDF, download the new file, and upload that one to the form.

Why upload forms reject large files

Job boards, visa systems, university admissions, tax portals and insurance claim forms all cap the size of each file. The reasons are practical: storage for millions of applications, reviewers who open documents one after another, and older systems that time out on slow connections. The limit is often small because the portal expects a scan of one or two pages, not a 40 MB phone photo turned into a PDF.

Common caps

There is no standard, but a few numbers come up again and again: 100 KB and 200 KB on older government forms, 500 KB and 1 MB on many application portals, 2 MB or 5 MB on newer systems. This page starts with 1 MB. If your form states a limit, match it with the Target size menu. The dedicated pages for 100 KB, 200 KB and 500 KB explain what to expect at each size.

How it gets under the limit

The tool re-encodes the scanned images and photos in your PDF. It tries the Balanced setting first, then lowers image quality and resolution in a few passes until the file fits, keeping the clearest version that does. Text, fonts and form fields are untouched, so typed details stay sharp.

If the limit cannot be met, the result card says Target not reached and gives you the smallest version it managed. It never returns a file larger than your original.

Preparing documents for a portal

  • One document per file. Portals often ask for each item separately. Extract pages pulls them out.
  • Straighten and trim. Crooked or oversized scans waste space. Rotate PDF and Crop PDF help.
  • Check the file type. If the form wants a PDF but you have photos, JPG to PDF converts them first.

Everything happens locally. Your documents are not uploaded here, only to the portal you choose.

Frequently asked questions

The portal says 1 MB but still rejects my 1 MB file. Why?

Some systems count 1 MB as 1,000,000 bytes, while this site uses 1,024 KB, which is slightly more. Set a Custom target a little below the stated limit, such as 950 KB, and try again.

The form does not say what the limit is. What should I pick?

Start with 1 MB, a very common cap. If the upload is still refused, go down to 500 KB. A portal’s help or FAQ page often lists the limit even when the form does not.

The portal wants separate files for each document. Can I split mine?

Yes. Use Split PDF or Extract pages to create one file per document, then compress each file here.

Are my documents stored anywhere?

No. The compressor runs on your device. Passports, diplomas and bank statements never leave your browser.
